Annual Report, 1993/94

MEMBERSHIP

The UC/Stanford Music Librarians (UC/SML) is a consortium representing each of the eight University of California campuses supporting academic music programs and Stanford University. Its membership consists of all librarians at the UC and Stanford campuses whose job responsibilities completely or significantly pertain to music collections and services. Representation from UCSC is in flux at the moment. Gordon Theil currently chairs the group. Philip Schreur stepped down as UC/SML secretary following the Winter 1994 meeting; Michael Colby will take over as secretary at the Fall 1994 meeting. CDC's liaison to the group is Brian Schottlaender, AUL for Collection Development and Technical Services, UCLA.

Two members of the group took advantage of the VERIP program in 1993/94: Marsha Berman (UCLA) and Marion Taylor (UCSC). These followed on the retirements of Martin Silver (UCSB) and Don Hixon (UCI) the previous year. A current list of UC/SML librarians appears at end of this report.


MEETINGS AND ACTIVITIES

The group held its Fall meeting at the Beethoven Center, San Jose State University, on November 12, 1993. The main business at this meeting was the development of a draft cooperative collection development agreement. Using the Women's Studies Consortium's Memorandum of Agreement as a model, the UC/SML created and provisionally accepted a Music serials agreement. Additionally, the group decided to develop a consolidated list of periodicals holdings that would assist in determining campus responsibilities for title retention.

Following the Fall meeting, Susan Bower prepared the first draft of the new agreement. Concurrently, each campus provided data on local periodicals holdings to Garrett Bowles who created a consolidated holdings list, which he distributed to the campuses via e-mail for review and revision.

Members from six campuses attended the group's Winter plenary meeting in Kansas City, MO on March 5, 1994, during the annual Music Library Association convention. Discussion centered on some recommended revisions to the draft agreement and a review of the consolidated holdings list. The revised agreement was accepted as final. The Chair announced that Susan Bower would fill the position of Project Coordinator.

Representatives from eight of the nine campuses met at UCLA on June 29 to begin the assignment of responsibilities for periodical titles, as per the Music Serials agreement. This process will continue with the full group at the upcoming Fall meeting.


PROJECTS

Music Serials agreement.

As can be seen above, this agreement has dominated the group's activities over the past year. The stated goal of the agreement is "To ensure that important material in the field of Music is available to scholars and students in the University of California and Stanford Libraries."

Even as the agreement is ready to submit, its first project is also close to completion: soon after the end of the upcoming Fall meeting the group will forward to CDC a substantial list of five year commitments to periodical titles subscribed to by four or fewer libraries in the consortium. Upcoming projects include the review of titles subscribed to by five or more campuses, a review of titles not subscribed to by any campuses and the score series project described below.

Score series project.

This project represents another phase of the Music Serials agreement and is in an early stage of development. The group plans to refine and possibly expand Stephen Fry's list of performing series acquired in the system, and to use this list as the basis for assigning levels of responsibility among the campuses for these series.

Microforms project.

The goal of this project is to ensure that one copy of each published microform set containing whole collections from major repositories in Europe and elsewhere will be purchased for cooperative user within the consortium. This year the Berkeley and Davis campuses committed to the continued acquisition of Research Publications's Printed music before 1800 and Opus Publications's 19th century American music periodicals on microfilm, respectively, through subscription.

Future projects.

The group has started to consider the development of cooperative preservation and resource sharing projects utilizing digital technology and electronic transmission of data.


ONGOING ACTIVITIES

UC/Stanford faculty interests.

Garrett Bowles keeps and distributes a detailed listing of faculty research and professional interests indexed by subject, name, and campus.

Inter-campus communication.

The group generally reserves time at its meetings for sharing information about local campus issues, events, program changes, etc. The secretary updates and distributes a UC/SML Directory.

Resource sharing: duplicates.

Individual campuses regularly offer duplicate holdings to the group through e-mail lists.
