GUIDELINES FOR

SHARED ACCESS TO MATERIALS IN SPECIAL FORMATS

  1. Purpose
  2. To implement the "one University one library" policy with regard to special formats.

  3. Definition
  4. Special formats are non-print materials such as maps, prints, photographs, audio and videotape, filmstrips, motion picture film, and electronic media. Materials in special formats are often either rare or unique. They are frequently fragile or in a c ondition that necessitates special access requirements.

  5. General Policy for the Loan of Special Formats
  6. UC libraries will provide intercampus loan of special formats materials, owned by these libraries, whenever possible. Each request will be evaluated on a case by case basis, and will be considered in light of such factors as uniqueness of the material and copyright and licensing restrictions. Materials will be carefully wrapped and shipped. Materials will be loaned for on-site use in the borrowing library or other designated campus location if they are non-circulating at the home campus. For certai n projected media, such as film and video, items may also be loaned for use in the classroom or for use in a campus media center outside of the library.

    The borrowing library will be responsible for adhering to any copyright and licensing regulations or other conditions which may apply to the use of loaned materials. The borrowing library will be responsible for ensuring safe return of materials to th e lender.

  7. Rare and Unique Materials

Each request for rare or unique materials will be examined on a case by case basis. If the loan of an item cannot be provided, the requestor will need to travel to the owning library for on-site use of the material. Arrangements should be made in adv ance with the collection director to ensure the availability of materials desired or the availability of appropriate access facilities and equipment.

Conditions which might preclude lending are as follows:

    1. Copyright and/or licensing restrictions.
    2. Materials are needed for classroom instruction on the home campus.
    3. The item is irreplaceable.
  1. As with regular interlibrary loan requests, loans of materials in special formats are library-to-library transactions. This policy applies only to materials which are owned by UC Libraries. Requests for special format materials not under the jurisdi ction of UC libraries will not be generally handled by ILL staff.

  3. Response Time

Intercampus requests should be handled on a timely basis; i.e. evaluated promptly and a decision communicated to the requestor within one week.
